Established in 1976 by two entrepreneurial brothers, MPI Media Group is a licensed media distribution company that has carved a distinct niche in the industry with an impressive collection of horror films. Despite being a team of 15 to 20 full-time employees, they effectively manage the complexities of dealing with licensors, preparing royalties, and making sales.

This involves intricate and tedious calculations, meticulous reporting, and rigorous tracking – a process that is common in the financial sector in the Hollywood industry. However, as a forward-thinking corporation, MPI Media Group’s VP of Technology, Randy Burgess, is keenly aware of the need for modernization as they move towards distributing modern multimedia  platforms. With an eye towards the future and a commitment to continual improvement, the company searched for a Cloud solution to evolve their business processes and fuel the ongoing expansion of their company.

MPI Media’s Challenges on NAV2009

MPI Media was working on NAV 2009, a precursor to Business Central. This version was outdated , unsupported, and had limited capabilities, leaving them stuck in time with no new functionalities being added. They had a system that mostly worked but was limited in advancing and taking advantage of new technologies.

One significant challenge they faced was with their Royalty system. They had to perform many banking reconciliations manually, manipulate data in Excel spreadsheets, fix errors when transferring data from NAV to  Excel , and calculate royalties for each period, which required a significant amount of resource time. Moreover, their reliance on one person who held all the knowledge posed a significant risk.

Their Royalty’s customizations were initially made to help with automation and complex reporting. However, these customizations were so extensive that upgrading them alongside NAV became extremely costly, which kept the company on the version of NAV when the reporting system was built.

Additionally, the time and latency involved in moving from quarterly numbers to final reporting was a multi-week process, burdening one or two individuals almost entirely. When these individuals faced disruptions, the entire process was delayed. MPI Media’s goal was to lighten this burden and reduce the risk associated with only one or two people understanding the system comprehensively.

This situation led to the decision to modernize the accounting system, move to the cloud, and automate their increasingly complex royalty process.

MPI Media’s Decision Process

During the peak of Covid, MPI Media’s VP of Technology, Randy Burgess became proactive in his search.

Microsoft Solutions Partner Decision

In terms of choosing a partner, MPI Media interviewed 15 Microsoft Solutions partners, including TMC. Randy, who has been in the industry for a long time and has experience both as a vendor and in hiring vendors, knew all the necessary requirements for selecting the right partner and was very meticulous in making this choice.

TMC distinguished itself early in the sales process with their organization, thoughtful responses, expertise in upgrading NAV, honesty, and attention to detail. They collaborated effectively with MPI Media to balance requirements while avoiding the cost of a full intensive analysis, helping them stay within their estimated budget.

TMC’s Solutions and Customizations

To address MPI Media’s challenges, TMC recommended the following solutions:

  • Upgrade NAV2009 (on-prem) to the latest version of Business Central

  • Redesign, develop and train on a new, flexible royalties module

  • Build EDI for sales to automate purchase requests

  • Customize an EDI integration with their 3PL warehousing company

  • Build API to import Purchase Order data

In their initial meetings with TMC, MPI Media discussed redesigning their royalty system. There are many variables that go into a royalty solution, and these variables can change from contract to contract over the years. Since Business Central doesn’t have an out-of-the-box royalty functionality, TMC addressed their Royalty’s requirements and built a system that allows MPI Media to evolve their royalties over time without being locked into one piece of software. This reduces the need to export data to Excel for further manipulation, as everything can be handled within Business Central.

Collaborations with 3PL

Unlike many Microsoft Partners, TMC worked directly with MPI Media’s 3PL. As MPI Media was switching major vendors, including their EDI provider and warehouse, TMC not only customized their 3PL integration but also managed the 3PL file management during the migration process. This saved MPI Media both time and money by reducing the stress of communication between the vendors. With TMC’s extensive knowledge of MPI Media’s operations and the best ISVs for their needs and Business Central, TMC recommended an EDI company that suited MPI’s support requirements.

MPI Media’s Results

The biggest complexity MPI Media faced with NAV support was that their remote team members, including key personnel, were not part of the support process for their system. Logging into a desktop system remotely was cumbersome and made support challenging.

Moving to Business Central provided a more evenly distributed system, granting equal access to users, remote team members, and vendors. This equal access streamlined troubleshooting and support processes, enabling quicker triage and priority assignment. Issues could be addressed more efficiently, whether by specific team members or external partners, leading to faster solutions.

Previously, support for accounting issues could take weeks to resolve. However, with Business Central, this timeframe has been reduced to just days. This significant improvement has been crucial for MPI Media, saving time and reducing employee stress levels.

Cloud Migration Advantages

Migrating to the cloud has relieved the burden of managing internal servers and systems. Additionally, automatic upgrades from Microsoft ensure MPI Media is always using the latest version with the newest features and functionality. This change eliminates the expense and effort of manual upgrades.

Seamless Purchase Order Integration

MPI Media now has a customized routine that combines various purchase order formats from suppliers into one standard file format. The file is now imported into Business Central through an automated process, enhancing efficiency and reducing errors.

Effortless Remote Access

MPI’s team no longer needs VPNs or secure connections to access their systems, which used to complicate and increase the cost of installation. Now, anyone with an internet connection and a browser can use the system, which simplifies remote access and reduces maintenance.

Similar Interface

Long-term users adapted easily and required less training because the interface resembled NAV. The new interface and improved navigation system, with a powerful search function.

Easier Data Integration

Cloud connectivity in BC simplifies connections with other services. MPI Media can now use Power Automate to transfer files from SharePoint to the system directly, eliminating extra steps. The upgrade path also included historical data, eliminating the need for multiple systems.

Automations

Automations significantly reduced the time needed to determine royalty numbers by at least 80% – from weeks to days or even minutes. While MPI Media understood that complex systems would never be 100% accurate to the penny, the new system allowed for necessary corrections and adjustments. It enabled the company to make changes, record the reasons, and ensure accurate royalty calculations.

MPI Media is still exploring the full potential of Business Central, but the initial benefits have been substantial. The enhanced support loop, seamless integrations, and improved remote access have all contributed to a more efficient and less stressful working environment.

This system will help them assess and manage investment risks effectively as new laws and restrictions arise.
